Inside Sales & Client Success Coordinator (females)
Job Description:
Inside Sales & Client Success Coordinator
Company Overview
It is a Houston-based longevity and optimization clinic focused on helping clients feel and perform their best through peptide therapy, hormone therapy, medical weight loss, prescription medications, IV and nutrient therapy, diagnostic testing, and advanced recovery modalities. The practice blends clinical care with a membership-driven, relationship-focused model and uses well-built dashboards, alerts, and workflows so the team can focus on client outcomes rather than spreadsheets.
Mission
We're hiring an Inside Sales & Client Success Coordinator to own customer lifecycle management, inside sales, client success, and administrative coordination across our programs while growing each client relationship. Day-to-day you'll be the trusted voice clients hear between visits — making sure they manage medical approvals, never run out of refills, never miss labs, and always know the next best step for their goals. You'll work closely with internal operations managers, manage onboarding calls, respond to help desk inquiries, and conduct inside sales outreach that feels like care, not pressure. If you enjoy relationship-driven sales, obsessive follow-through, and have a hospitality mindset to help people progress toward health goals — you'll feel right at home.
Key Responsibilities
Your daily tasks will vary, giving you room to learn, grow, and strengthen your skills while supporting the team with excellence.
- Track customer systems and proactively manage follow-ups on medical approvals and refills.
- Schedule and conduct onboarding calls to effectively manage the customer lifecycle.
- Conduct inside sales outreach, handle help desk inquiries, and reach out to clients proactively.
- Manage appointment reminders and follow up consistently so no client slips through the process.
- Send professional thank-you emails and proactively manage Google reviews and Trustpilot reviews.
- Coordinate seamlessly with internal team members to ensure smooth operations and avoid duplication.
- Hit monthly sales and retention targets and report on performance.
- Recommend complementary services, wellness protocols, and membership options aligned to client goals.
- Proactively recall clients when repeat bloodwork or clinical follow-up visits are due.
- Log every client interaction thoroughly so the team has full context.
- Triage and route clinical questions quickly and accurately to the medical provider.
Qualifications
- Years of Experience: 1+ years in client success, inside sales, treatment coordination, high-end hospitality, or an administrative healthcare role. A nursing or medical background is a strong asset but not required.
- CRM Tool: Experience with Mindbody CRM is a plus (willing to train if the candidate is strong in sales).
- Softwares: Proficiency with professional email platforms, Word, and basic CMS/platform navigation. Familiarity with AI tools or basic technical skills is a plus.
- Industry Knowledge Required: Lab-work logistics, prescription-renewal workflows, wellness/longevity medicine, or general customer lifecycle tracking.
- Specific Gender: Female preference.
- Language Skills: Fluent, high-level spoken and written English is mandatory. True bilingual capability in Spanish is a massive competitive advantage.
- Traits: Deeply detail-oriented, structured organizer, absolute team player, and possessed of a genuine "hospitality mindset."
Skills & Competencies
- Warm, clear, persuasive, and professional verbal and written communication.
- Exceptional organization, time management, and absolute attention to detail.
- Genuine sales instinct, team player mentality, and a strong hospitality mindset.
- Discretion, professionalism, and HIPAA-awareness when handling sensitive health information.
- Self-starter mentality with ownership of numbers and daily targets, not just tasks.
- Coachable, stable, and relationship-oriented with high emotional intelligence.

- Noise-cancelling headset and a quiet, professional workspace
- Phone capable of SMS and calling for proactive outreach
