Operations Manager / Operator
Job Description:
Operations Manager / Operator
Company Overview
It is a specialist MedSpa growth and marketing agency dedicated to partnering with healthcare and aesthetic skin tightening clinics across the United States and Canada. The agency utilizes a proprietary three-step system that combines high-performance Meta advertising, a dedicated in-house sales team to convert leads into appointments, and elite client success coaching to maximize return on investment for clinic partners. Operating with a high-growth, high-volume culture, the organization actively rejects mediocrity, prioritizing personal growth, extreme ownership, and world-class client results over excuses.
Mission
We are hiring a world-class Operations Manager (Operator) to take full ownership of our internal execution, fulfillment engine, system infrastructure, and departmental collaboration. Your primary mission is to remove the CEO from day-to-day backend operations, allowing leadership to focus on driving sales and high-level strategic initiatives. You will act as the architect of our operational machine—translating big-picture vision into flawless, structured workflows, managing direct-report team leads, and aggressively identifying and fixing constraints so the business can scale efficiently without breaking. If you are a hungry, growth-minded leader who thrives under pressure, thinks in frameworks, and operates with an extreme ownership mindset, you will feel right at home.
Key Responsibilities
Your daily tasks will vary, giving you room to learn, grow, and strengthen your skills while supporting the team with excellence.
- Own the entire client journey post-sale, serving as the final backstop for client fulfillment and retention.
- Lead and mentor direct reports, including fulfillment team leads across the Call Center, Media Buying, Onboarding, and Project Management.
- Host daily meetings and weekly fulfillment reviews to ensure full alignment, audit operational execution, and proactively remove team blockers.
- Run a focused, cross-departmental sprint to eliminate bottlenecks whenever a system constraint or negative trend is identified.
- Manage client escalations, resolving critical delivery issues and reducing internal operational fires.
- Build, monitor, and optimize the hiring pipeline for key operational roles (such as Project Managers, CSMs, Media Buyers, and Tech Ops), owning the end-to-end talent acquisition lifecycle.
- Streamline and maintain standard operating procedures (SOPs), conducting monthly audits to ensure internal workflows are scalable.
- Manage, update, and own real-time KPI dashboards across all teams, using data to drive operational decisions rather than feelings.
- Map out, coordinate, and track all major company initiatives within project management software to meet strict execution deadlines.
- Act as an operational filter for leadership, protecting executive focus by preparing performance

- Solution-Oriented Framework: Commits to presenting multiple potential solutions before escalating problems, encouraging independent thinking across teams.
- Talent Management & Coaching: Gifted at identifying "A-Player" talent, building accountability structures, and running fast onboarding boot camps.
- Calm Under Pressure: Maintains total clarity and structured execution during chaotic periods or when scaling strain occurs.
- Crystal-Clear Communication: Drives alignment across distinct internal departments with simplicity, precision, and reliable follow-through.
