Operations Manager
Job Description:
Operations Manager
🌏 Remote 💰$2500 ⏰8 hours, from 4 PM till 12 AM Beirut Time
Company Overview
It is a Boston-based client acquisition and video advertising agency that helps local service businesses grow using short-form video and paid social. The team focuses on creating performance-driven creative and end-to-end client acquisition systems that move leads into booked jobs; the culture is fast-paced, results-oriented, and collaborative with a strong emphasis on systems, clear communication, and high-touch client experience.
Mission
We're looking for a highly organized, proactive, and results-driven Operations Manager to own day-to-day execution across the company. You will turn leadership direction and company goals into clear execution across the team, overseeing workflows, deadlines, accountability, systems, communication, and client delivery.
If you naturally create structure where none exists, follow through until things are finished, are comfortable managing people, and can solve problems without needing constant direction — you'll feel right at home.
Key Responsibilities
Your daily tasks will vary, giving you room to learn, grow, and strengthen your skills while supporting the team with excellence.
- Manage day-to-day execution across the team and ensure priorities, deadlines, and responsibilities are clear.
- Follow up on incomplete or overdue work and hold team members accountable to KPIs and expectations.
- Identify performance issues early and escalate when necessary.
- Lead recurring team check-ins and operations meetings.
- Ensure every client moves through the proper onboarding and fulfillment process.
- Track upcoming shoots, content, ad launches, approvals, setter activity, reporting, and client deliverables.
- Ensure client requests are assigned and completed quickly.
- Work closely with the CSM to identify and resolve client issues before they become larger problems.
- Maintain clear visibility into the health and status of every active client.
- Build, document, maintain, and continuously improve SOPs.
- Maintain Asana, Slack, CRM, dashboards, and internal tracking systems.
- Ensure processes are actually followed rather than simply documented.
- Identify operational bottlenecks and create practical solutions.
- Improve workflows as the company grows and new team members are added.
- Implement automations wherever repetitive manual work can be eliminated.
- Maintain visibility into company and team KPIs.
- Track performance across setters, client success, creative production, sales, and fulfillment.
- Flag numbers that are falling below target and ensure appropriate action is taken.
- Provide leadership with a clear weekly summary covering completed work, delays, client risks, team performance issues, key numbers, and problems requiring leadership decisions.
- Help coordinate recruiting and onboarding of new team members.
- Ensure every new hire has the correct accounts, systems, SOPs, training, and expectations.
- Track onboarding completion and help develop stronger training and accountability systems as the team grows.
Qualifications
- Years of Experience: 3+ years of experience in operations, project management, team management, client delivery, or a similar role within a fast-paced business environment.
- Management Experience: Proven ability to manage people, follow up on deliverables, enforce accountability, and identify performance issues.
- Systems & Tools: Strong familiarity with Asana, Slack, Google Workspace, CRMs, dashboards, project management systems, and automation software.
- Industry Knowledge Required: Experience working in a growing small business, agency, service-based company, or similarly fast-moving environment where strong operational execution is critical.
Skills & Competencies
- Extremely organized and detail-oriented, with the ability to manage multiple priorities without losing track of important details.
- Strong written and verbal communication skills.
- Comfortable managing people and holding team members accountable.
- Highly proactive and naturally follows up until something is completed.
- Strong problem-solving ability and sound judgment.
- Comfortable working in a fast-moving environment where processes are continuously evolving.
- Ability to create structure and systems where structure does not yet exist.
- Strong ownership mentality with the ability to operate independently without constant direction.
- Ability to identify operational bottlenecks and turn problems into actionable solutions.
- Strong understanding of KPIs, performance tracking, and operational reporting.
- Comfortable learning and implementing new software, systems, and automation tools.
- Understands that identifying a problem is only step one; you are expected to help solve it.
Technical Requirements
- Own PC or laptop capable of reliably handling multiple business applications and communication tools simultaneously.
- Reliable high-speed internet connection.
- Noise-cancelling headset and a quiet, professional workspace for team syncs.
- Strong working knowledge of Asana, Slack, Google Workspace, CRM platforms, dashboards, and project management tools.
- Ability to quickly learn and manage new software, automation platforms, and internal operating systems.
What Success Looks Like
A great Operations Manager creates an environment where:
- Moe does not need to personally chase people for updates.
- Everyone knows exactly what they are responsible for.
- Client deliverables happen on time.
- Problems are caught before they reach the founder.
- KPIs are visible and consistently reviewed.
- SOPs and systems stay organized and updated.
- New hires can be onboarded quickly and effectively.
- The team communicates clearly and consistently.
- The business continues operating smoothly even when the founder is focused on sales, strategy, relationships, or growth.
Core Principle
If the founder has to repeatedly remember, check on, or chase something that should already be part of the operating system, the system needs to be improved.
The Operations Manager owns making that improvement happen.
