​Mission
​We're looking for a self-motivated, detail-oriented Virtual Assistant to join us part time (20 hours per week with flexible scheduling). In this role you'll own administrative operations that keep our clinicians supported and our billing/credentialing processes moving—everything from prior authorization requests, credentialing and enrollments, to auditing client files, billing support, and day-to-day EHR management. You'll work directly with therapists, billing specialists, and clinical leadership in a supportive, community-focused environment. ​Key Responsibilities
​Your daily tasks will vary, giving you room to learn, grow, and strengthen your skills while supporting the team with excellence.
- ​Compile and submit Prior Authorization requests to contracted insurance payors using Medicaid and insurance portals.
- ​Prepare and submit credentialing applications to insurance companies and manage ongoing credentialing processes.
- ​Submit enrollment applications to insurances for new therapists.
- ​Regularly audit client files for completeness, compliance, and treatment plan updates.
- ​Compile and submit billing to contracted reimbursement sources (insurances, grants, and billing specialists).
- ​Bill directly to payors when needed and coordinate billing submissions with specialists (billing experience preferred).
- ​Compile and submit client demographics and required documentation to billing specialists and contracted reimbursement sources.
- ​Work with billing specialists to manage accounts receivable (AR) and follow up on denials/claims.
- ​Maintain ongoing communication with contracted reimbursement sources and insurance portals (specifically Nevada Medicaid portals).
- ​Manage and maintain client files in the agency EHR (My Best Practice).
- ​Check client eligibility and benefits prior to sessions.
- ​Track client sessions, ensure timely 90-day treatment plan updates, and monitor documentation timelines.
- ​Answer and triage incoming phone calls and messages professionally.
- ​Provide administrative support to therapists, including paperwork tracking, onboarding support, and general file management.
​Qualifications
- ​Years of Experience: 2+ years in administrative support, healthcare assistance, or virtual assistance
- ​CRM Tool: Not required
- ​Softwares: Excel; Foxit/PDF software; Windows File Explorer; My Best Practice EHR (or similar EHR systems required); Nevada Medicaid portals; insurance portals; email tools; spreadsheets; databases; billing systems
- ​Industry Knowledge Required: Behavioral Health background, essential knowledge of Nevada Medicaid, Private Insurances, prior authorization workflows, and credentialing processes
- ​Cultural Consideration: Non-hijabi candidates preferred (to align with regional client-base dynamics in rural Nevada areas)
​Skills & Competencies
- ​Strong communication and interpersonal skills, both written and verbal.
- ​High attention to detail and commitment to accuracy.
- ​Ability to work independently, take initiative, and be proactive in task management.
- ​Proficiency with office software, Windows-based systems, and EHR systems.
- ​Organizational skills and ability to manage multiple priorities.
- ​Time management, flexible scheduling adaptability, and reliable follow-through.
- ​Customer-service orientation for interacting with clients, clinicians, and payors.
- ​Understanding of billing, credentialing, and insurance workflows (medical office or billing company experience preferred).
- ​Ability to handle confidential information in compliance with HIPAA.
​Technical Requirements
- ​Own PC or laptop (Windows-based system required for insurance portals).
- ​Reliable internet connection (wired connection recommended).
- ​Noise-cancelling headset and a quiet, professional workspace.
- ​Access to and ability to use EHR software (My Best Practice) and insurance/Medicaid portals.
- ​Foxit or comparable PDF software and Microsoft Excel installed.
- ​Ability to make and receive professional phone calls.
​Position Description
- ​Working Hours: 20 hours per week, flexible schedule (Typical structure: Monday – Thursday, 9:00 AM – 2:00 PM EST / 4:00 PM – 9:00 PM Beirut Time, with flexible day/hour swaps available)
- ​Working Days: 4 to 5 days a week (Monday through Thursday typical)
- ​Days Off: Friday, Saturday, and Sunday (or flexible based on hour swaps)
- ​Work Location: Fully-remote, you can work from anywhere
- ​PTO (Paid Time Off): Contractor based with no paid annual leave; flexible hour swaps available for time off. Standard Lebanese national holidays apply for scheduled days off
